Parking
There are disabled parking bays available in all our main public car parks, please display your disabled parking permit and follow disabled parking signage and marshal direction.
Disabled Courtesy Shuttle Service
A Courtesy shuttle service for disabled guests operates on a priority basis from each car park to the nearest event pedestrian entrance. Please wait by the Disabled Courtesy Shuttle signs (located within each car park) for assistance.
If you require a courtesy shuttle service direct to event Shopmobility we suggest you access the site from the A27 direction (into Car Park A) which is where the quickest courtesy shuttle to event Shopmobility will operate from. This service operates in the reverse for departure and is only available during the event hours.
Shopmobility
Electric and manual wheelchairs are available for hire and must be booked in advance through Shopmobility on 0300 500 8085. Shopmobility is based at Gate 1 and is open from 0700hrs-1900hrs during the event days.
Event Transport
A golf buggy shuttle service operates inside the event to assist disabled guests in getting around the site. Please be aware that this is a single journey service which works on a priority basis and as such may be subject to delays. The golf buggy service operates from the information points on-site and can’t be pre-booked. Transport to the Rally Stage operates from Gate 1 by Shopmobility (or on tractors and trailers from the main paddock), golf buggies are not suitable for this service.
Wi-fi
To ensure the success of the network for all and to guarantee there is no interference from other networks Goodwood operate a ‘Clean Air Policy’. Partners, Exhibitors, contractors and third party providers or staff are not permitted to install or operate their own WiFi equipment. All parties are required to use Deliver Events for all internet and Wi-Fi connectivity. This will be monitored throughout the event to ensure there is no disruption to others.
Music
It is the Exhibitors’ responsibility to declare details of all recorded music to Goodwood to ensure coverage under the necessary PRS and/or a PPL licence can be obtained. Live music and DJ’s are not permitted on Exhibitor stands. Please email katy.armstrong@goodwood.com with the details of all music which will be played by Friday 29th May.
There will be a music licence fee for general background music (which costs around £200 per stand). Goodwood will arrange the licence and will pass on the additional cost to the Exhibitor. It is important Goodwood is notified of any music use so that we can inform PPL/PRS for licence inclusion.
When planning music on your stand, consideration must be given to your neighbours and under no circumstances may music cause a nuisance to them. Speakers should point inwards towards your stand. Goodwood reserves the right to turn off or turn down any music which, in their opinion, causes a nuisance or disturbance or is detrimental to the event as a whole. As a general rule, music should not be heard on neighbouring stands.
Viewing
There are three dedicated raised viewing platforms for disabled guests. One is located next to the Kinrara Enclosure opposite Goodwood House; another is situated in the Top Paddock turning circle and the other is situated alongside the Startline Grandstand (which is covered). Both the Kinrara and Startline viewing platforms have battery charging facilities for motorised wheelchairs.
There is also wheelchair chair access and space undercover within the Pheasantry Grandstand, tickets for this can be purchased from the ticket office on 01243 755055 subject to availability.
Toilets
Disabled toilets are located at each of the main toilet block areas shown on site maps.
Camping
There are dedicated disabled camping plots in Campsites E and H, please contact the Ticket Office on 01243 755055 to purchase.

Accommodation
Camping
Under no circumstances do we allow overnight stays in Exhibitor Car Park L or any other car parks. Should you be found to be staying overnight in any car park on-site, you will be removed and no longer allowed to exhibit in future.
Pitches within campsite E are 7m x 9m in size. The campsites include showers, toilets, bins, fire extinguisher points and 24-hour security. Campsite E is situated next to the motor circuit.
On event, shuttles run from Campsite E to Gate 1 between 0600hrs and 1900hrs and from 1930hrs to 2300hrs to and from The Goodwood Hotel, where there is live music every evening as well as food and drink available. The frequency of the shuttle is dependent upon demand.
Non-electric camping pitches can be booked in the Exhibitors campsite (part of Campsite E) for Exhibitors at £175.00 plus VAT and can be booked via the extras form. Please note; all camping is sold on a first-come, first-served basis and must be booked prior to arriving on site.
Event Rules - Alcohol
Build-up and Breakdown
It is strictly prohibited for anyone to be under the influence of alcohol or illegal drugs whilst working on site. Goodwood reserves the right to remove anybody from site who, in their opinion, is under the influence of either substance.
On-Event
Alcohol will be available for sale from the various catering areas around the site. You may bring a small amount of alcohol for personal consumption into the event.
Communication with Goodwood
During build-up, on-event and breakdown, all Goodwood Exhibitors must continue to liaise with the Exhibitions team as their first point of contact for everything unless it is an emergency, in this event please see Emergency Procedures. If you are still unable to contact the Exhibitions team then please call Goodwood Control on 01243 755110 or email goodwoodcontrol@goodwood.com.
Deliveries
Please note that Goodwood cannot accept any deliveries on behalf of exhibitors during the build-up, on event and breakdown.
Vehicle Deliveries
Any vehicles which are road taxed, with registration or trade registration number plates are required to unload at the Build Accreditation Office and shuttle to the site. Transporters will not be permitted to make deliveries direct to site unless vehicles are not road worthy – in this case they will come under the ‘larger delivery’ process. Goodwood does not take responsibility for vehicles which are left at the Build Accreditation Office.
Dogs
No dogs or other animals are permitted at the event site, including the car parks and the campsites, with the exception of registered guide dogs and assistance dogs.
Dress Code
As the Festival is an open-air event held primarily in parkland, flat comfortable shoes and casual clothing is best. Always bring some light wet weather clothing as, even in summer, the British weather can be unpredictable! If you will be using our corporate hospitality pavilions, then smart casual dress is required.
Drugs and Legal Highs
Illegal drugs or legal highs are not permitted on any part of the Estate. Any person found to be in possession of or under the influence of illegal drugs or legal highs will be removed from the Estate and reported to the local Police.
Equality Act 2010 and Disability Discrimination Act 1996
Goodwood expects all Exhibitors to fully comply with their obligations under the Equality Act 2010 in relation to both their own employees and also to the provision of goods and services to members of the public.
These obligations include requirements to refrain from any kind of discrimination and to treat everyone with dignity and respect, regardless of sex, race, colour, national origin, age, marital status, disability, pregnancy, sexual orientation, religion or belief or any other protected characteristic. The responsibility for upholding this commitment is shared by, and is intended to benefit, Sponsors and their employees, agents and contractors.
Goodwood recognises that Exhibitors may wish to be innovative with their stand design. However, it should be noted that the Disability Discrimination Act 1996, along with provisions relating to disability in the Equality Act 2010 must be adhered to in all aspects of stand design, build and operation. This requires you to consider making reasonable adjustments to arrangements and facilities to meet the requirements of disabled users, contractors and visitors to the event.

Flagpoles and Balloons
Exhibitors are strictly prohibited from having balloons or inflatables on their stands due to the risk it poses with our air displays.
Teardrop, feather or any other type of flag are strictly prohibited. If you choose to erect a flag, Goodwood will ask you to take this down.
Fundraising
Charity collections and promotions at the event may only be carried out with the express permission of the Exhibitions team. Those authorised may only carry out their fundraising, including all cash collections, within the perimeter of their stand. Please note the guidelines on collecting and handling cash charitable donations issued by the Charities Commission www.charity-commission.gov.uk
Insurance
All Exhibitors are required to ensure that they have adequate insurance with a reputable insurer to cover all potential liabilities and risk to their business, employees, agents, contractors, third parties and members of the public attending their stands and exhibits. We require Public Liability cover of a minimum of £10 million per individual claim. Cover should include stands, displays, exhibits, all property, employee and third-party risks, damage, abandonment, cancellation or curtailment of the event.
Exhibitors participate in the event and activate their rights at their own risk. Goodwood is not liable for claims arising from damage, loss, injury, disease or death involving employees, officers, agents or contractors of the relevant Exhibitor, third parties or members of the public which arise out of the activation or exploitation of the Exhibitor rights or which occur on a Exhibitor’s stand or display, however caused (although this shall not exclude or limit liability in respect of death or personal injury arising from negligence).
Exhibitor must include all copies of all relevant insurance certificates with their Health and Safety Documentation. The insurance cover must be valid from the first day on-site, throughout build-up, live days and breakdown until the Exhibitor and its sub-contractors and employees have all vacated the Estate premises.
Lasers
No lasers or special effects using lasers are permitted without written authority from Goodwood.
Leafletting and Selling
Exhibitors must not sell from outside their stand and spill out onto the walkways outside their stand.
Handing out leaflets and other promotional material is prohibited unless within the boundaries of your stand.
Missing/Found Children
In the event of a missing/found child
If you have parents attending your stand reporting a missing child,
Under no circumstance should you reunite a lost child and potential parent without the Police or Goodwood Security present.
Photography Ban
During build-up no one is allowed to take pictures of the site, other Exhibitor stands and the Central Feature. Any person found to be taking photographs will be removed from site.
Product Sale Licence
If you sell products under licence, please ensure that copies of relevant licences or other authority are available on your stand, as Trading Standards officers will be on-site over the weekend.
Radio Use
Goodwood use a number of different licensed radio frequencies and it is vital that there is no interference.
Security
The safety of your stand and any goods contained within is your sole responsibility. Goodwood will maintain a general level of security throughout the site however, all Sponsors display their products, goods and equipment at their own risk and are entirely responsible for their security. Absolutely no liability will be accepted by Goodwood for any loss or damage to, or theft of, any Exhibitor’s property, however caused. It is not possible for Goodwood to check the ownership of any goods or products being removed from the event grounds.
Security control access to the site throughout the whole build period. Additional security will patrol the site from 1800hrs to 0600hrs on the Wednesday, Thursday, Friday, Saturday & Sunday night of the event. Should you require stand security, please contact the Exhibitions team.
In the unlikely event that there is a theft on-site, please follow the below steps:

Smoking
Smoking is not permitted within 20m of the trackside bales, inside the structures or on any construction site. All relevant signage should be displayed around your site to enforce this.
Supa-Trac
Supa-trac is a plastic temporary walkway and grass covering system. It is suitable for pedestrians and lightweight vehicles only. It is not suitable for heavy vehicles and must not be driven on by anything over 3.5t. Anyone causing damage to tracking will be charged accordingly.
Storage
Storage should be incorporated into your stand design, as additional storage is extremely limited.
Unusual Exhibits / Items of Special Risk
If you are doing anything on your stand that may be considered out of the ordinary, is not directly related to the event content or carries any special risk, please notify the Exhibitions team. Failure to notify Goodwood of such activities may result in the cancellation of the activity.
Vehicles On Display
As a safety measure, please ensure that all vehicles on display are fitted with lockable filler caps or are wired closed to prevent malicious interference. Additionally, please ensure battery leads are disconnected, unless in the opinion of the manufacturer it is unsafe to do so. No vehicles are permitted to fire their engines whilst the event is open to the public, unless agreed with Goodwood beforehand.
The fuel tanks of motor vehicles manufactured prior to 1984 must only contain sufficient fuel to move the vehicle in and out of the area, due to the absence of safety features which prevent leakage.
Fuel tanks of motor vehicles manufactured from 1984 onwards may contain fuel.
General
Lost Property
Any lost property should be taken to the closest Information Point or the Site Operations Office – Gate 1.
Parking
No unauthorised vehicles may be left within the security fence. Security will be patrolling the site to ensure that these regulations are observed.
We do not permit BBQ's or camping within our public car parks due to H&S standards. If you are found participating in these activities, security will escort you out of the car park and you will be banned from future use.
Cars
The car parks are not for camping or staying overnight – camping facilities are available by prior booking, please see Camping. No trailers or articulated lorries over 7.5 tonnes can be accommodated in the car parks. If you need parking facilities for these, please see Large Vehicles below.
Each Exhibitor receives two passes for Car Park L subject to availability.
Additional vehicles will be directed to the nearest car park dependent on your direction of travel. Further details on getting to Goodwood and car parking directions can be found on the Goodwood website www.goodwood.com/estate-map/
Coaches
Parking for coaches is found in the west end of Car Park A and no pass is required. Marshals will direct coaches through the traffic restrictions to gain access.

As you approach the event site the event road signs will show different colours relating to the various car park labels. If you do not have a car park label then you will be directed to the nearest public car park dependent on your direction of travel. If you do have a car park label then please follow the signs relating to the colour and shape of your label and you will direct you through the best possible route. As you get into the car parks the marshals will direct you to the parking area relevant to your letter or number.
Even if you are familiar with the site and surrounding routes you may find some roads have closures or limited access so please follow marshal instructions and road signage at all times and not your Sat Nav. Please be advised that all road closures or limited access are controlled by a traffic team and may be subject to change depending on the event day, volume of traffic and peak traffic times.

Types of Transport
Buses
On-event Stagecoach operates a shuttle service from Chichester Railway Station directly to Gate 1. Buses operate continuously between 0700hrs and 2000hrs with buses approximately every 30 minutes. Travel tickets can be purchased onboard.
Taxi Companies
Important Note
Large vehicles MUST NOT route through East Lavant or Boxgrove under any circumstances due to the potential for property and parked vehicle damage. East Lavant has a permanent 6’6” width restriction and Boxgrove has narrow roads unsuited to large vehicles and has a 7.5T weight limit. All build traffic, large or small, is requested to use the main routes in and avoid these villages to avoid nuisance.
Build-Up

Wristbands are valid for the duration of both build-up and breakdown, as well as outside of event hours during event days, so please keep hold of them until breakdown is complete. As the main build has finished before this period and heavy plant has been removed, the wristbands will be accompanied by a very much abridged version of site rules for people to read, essentially covering the need to be vigilant on site and to use the green cross code at all times including when walking on trackway. Goodwood strongly recommends that all site visitors remain in high vis until the Event is live.
Before entering through Gate 1, please familiarise yourself with the location of your stand and your stand number. Exhibitor marshals will be directing exhibitors to their stands from the 7th July. You can spot them in pink Hi Vis Jackets. Please note that the site footprint has changed greatly this year, so please be attentive as to where your stand is. If in doubt, please do not hesitate to ask any of the marshals in pink jackets.

Re-stocking only takes place between 1900hrs and 0630hrs and you will require a Build-up Vehicle Pass which can be obtained from the ‘Exhibitor HQ Office’ in Car Park A if you do not already have one. Any support vehicles on-site after 0630 will be towed off site by our approved contractor.

Breakdown
Site Access on Sunday 12th July for Breakdown
Access on Sunday night to Exhibitors is through Gate 6 (by the Racecourse) after1900hrs when the public have left site. No vehicles will be allowed onto the site until, in the Event Safety Officers opinion, it is safe to do so. All vehicles will enter the site under instruction from the Traffic Marshals and Police will be present to move you on if you attempt to queue on the road.
Anyone entering the site on foot will need to have a build-up/break down (either colour) wristband to access the site once the event site has closed at around 1900hrs.
Site Access on Monday 13th July
Vehicles needing to gain access to site will be required to go to the ‘Exhibitor HQ’ in car park A and obtain a pass to access site. Any organisations not pre-registered will not be allowed access to site until they have registered on the day, which will delay access to site. Access will be from 0700hrs.
It may be easiest for staff to walk in across the golf course. The different coloured build up/breakdown wristbands will still be valid on Monday 13th July and will be available in Car Park A.
Removing Display Vehicles
Individual vehicles must be driven out of the site which involves driving on the public highway. Goodwood Exhibitors are responsible for ensuring that all vehicles are road legal. The display vehicles will need to be driven to the Build Accreditation Office where transporters can collect them. Transporters will not be allowed to drive on-site to collect cars.
Goodwood Exhibitors must have a representative on-site to manage the keys for the cars. Neither Goodwood nor their agents will accept keys on behalf of Exhibitors and keys cannot be left in the Check-in Office. Goodwood does not have any responsibility for vehicles left in the traffic holding area. This system will be in place until the event site closes on Friday July. If you have not cleared your area by this time a charge of £5000 per day will be applied at Goodwood’s discretion.
Waste Removal During the Build, Event and Breakdown
If you generate rubbish during the event please do not fill litter bins but contain your rubbish in plastic bin bags, which can then be collected every evening. If you have dry mixed recycling please use a see-through bin bag. We encourage the re-use of as many materials as possible.
Please work with our waste management team to recycle wherever possible and ensure you are legally and appropriately disposing of your waste. We expect to find your allocated space in the condition it was provided to you. Any rubbish that is left on your stand space will incur a clearance charge.
All large skips will be removed by 1900 on Tuesday 7th July, so please ensure you have disposed of all your large waste by this time. Skips will be brought back on-site for breakdown at 2100 on Sunday 12th July
Goodwood Exhibitors are obliged to fill skips safely and evenly with no sharp or hot materials and no rubbish is to be burned in them. Do not overfill the skips as this prevents them from being emptied.
A minimum charge for waste management applies at a rate £4.36 per sq/m of exhibition space for any waste left behind.
A major incident is considered to be an event or situation with a range of serious consequences which requires special arrangements to be implemented by one or more emergency responder agency. The nature of the incident is beyond the scope of business-as-usual operations, and is likely to involve serious harm, damage, disruption or risk to human life or welfare, essentials services, the environment or security.

Goodwood aims to provide and maintain the highest standards of health, safety, and welfare in order to protect its employees and visitors whilst on the estate. Goodwood has a duty to ensure, as far as is reasonably practicable; that any activity undertaken by any third party is conducted safely and without risk. Throughout the whole period of attendance at the event(s) the Health and Safety at Work Act 1974 and Regulations made there under must be observed.
It is a contractual term of your agreement with Goodwood that your employees, agents, sub-contractors or any third party engaging in activities at Goodwood are required to comply with these instructions and with all relevant UK statutory and regulatory provisions. If you or your employees, agents, sub-contractors or third parties working on your behalf act in breach of this term, Goodwood shall not be liable if you are prevented from activating the Partnership or exhibitor rights or if remedial action has to be taken.
If any unsafe practices or methods of activity are brought to the attention of Goodwood, you or your employees, agents, sub-contractors or third parties working on your behalf will be required to cease the practices or activity and reduce any risks without delay. In the case of a sub-contractor or third party, this may result in them being asked to leave the site. All of your employees, contractors and sub- contractors operating at Goodwood at any time must comply with all statutory requirements which apply directly or indirectly to their activities.
Any sub-contractor or third parties working on your behalf may be subject to inspection so please ensure that your Safety file is available at all times.
You must provide Goodwood with the names and contact details of your on-site Project Manager and Health and Safety representative, who must all be able to communicate fluently in English.
This document has been prepared to aid you whilst working at Goodwood, and its contents must be shared with your team and any sub-contractors working at Goodwood on your behalf to ensure that all of your staff working onsite are fully aware of the emergency procedures.

2.2 Emergency During Build Up & Breakdown

2.3 Emergency During the Event

2.4 Major Incident

A major incident is considered to be an event or situation with a range of serious consequences which requires special arrangements to be implemented by one or more emergency responder agency. The nature of the incident is beyond the scope of business-as-usual operations, and is likely to involve serious harm, damage, disruption or risk to human life or welfare, essentials services, the environment or security. Please follow instruction from Goodwood Staff, Marshals, and the Emergency Services.
2.5 Fire During Build Up and Breakdown
If you discover a fire, please follow the procedure below:

2.8 Medical Procedure during the Event
Anyone (Employees, Contractors, Public) requiring medical assistance should be directed to the nearest treatment centre. Medical treatment centres are staffed by appropriately trained Doctors and Emergency Care Practitioners, and are supported by healthcare professionals and ambulances.
If anyone (Employees, Contractors, Public) requiring medical assistance cannot be moved, please contact Goodwood Control on 01243 755110 or contact any member of Goodwood staff with a radio to contact Goodwood Control.

2.9 Missing/Found Children
In the event of a missing or found child
Contact Goodwood Control on 01243 755110 immediately. Do not contact Goodwood Control over the radio in this circumstance.
Keep the child on the stand, supervised, until a member of Goodwood security arrives.
If you have parents attend your stand reporting a missing child,

Goodwood Control will ask them a series of questions regarding the child. Goodwood Security or Police will then attend your stand.
Ensure a staff member remains with the parent guardian or responsible person.
Under no circumstance should you reunite a missing/found child and potential parent without the Police or Goodwood Security present.
2.10 Suspicious Package

In the event that you receive a telephone call referring to a bomb warning or threat.
If a threat is received, the site may be evacuated. Please follow instructions from Goodwood staff, marshals, and emergency services.
2.12 Evacuation During Build-up and Breakdown
In the event of an evacuation during build-up or breakdown, please follow the instructions from Goodwood staff, marshals and emergency services.
2.13 Evacuation During the Event
If an evacuation is ordered, a message will be broadcast on the public address system and messages displayed on the televisions and large screens. All evacuations, either full or partial, will be co-ordinated via Goodwood Control, under the direct instruction of the Goodwood Safety Officers.
In the event of an evacuation being ordered, the BARC/SCC Stewards will suspend track activity. This will be co-ordinated by BARC Race Control/Rally Race Control in conjunction with Joint Event Control.
Visitors and all staff will be evacuated to designated areas away from the potential danger by either BARC Marshals/SCC Marshals, Goodwood Marshals, Goodwood Event Security or the Emergency Services.
Staff will be directed as to where to go and they may also be required to act as additional emergency staff.
2.14 Emergency Routes
The event has a number of emergency routes which must be kept clear at all times to ensure that emergency vehicles may access the site.
Please follow the marshals’ instructions at all times in order to maintain these clearways.

3.1 Enforcing Authorities
Goodwood maintains close working relations with the statutory authorities and responsible agencies for the safe planning and execution of the event.
As such, the enforcing authorities (Local Authority, HSE, West Sussex Fire and Rescue) regularly visit and have full access to the site.
Any practices deemed to be unsafe are likely to result in an enforcement notice or prohibition notice being placed upon you. To avoid this action, please ensure that you and your contractors maintain the required standard of health and safety and environmental compliance while on site. Should you be subject to either of these notices, there are no guarantees that the terms will be lifted prior to the event.
3.2 Fire Safety
In common with all places of public entertainment, the event will be inspected by Environmental Health Officers and the Fire Safety Officer from West Sussex Fire and Rescue, and each stand will be assessed. For more information on Fire Regulations please refer here.
3.3 Fire Risk Assessment
In accordance with The Regulatory Reform (Fire Safety) Order 2005, all Goodwood Partners must carry out a documented Fire Risk Assessment, which covers the duration of the event (build-up, event days and breakdown) and a copy must be included in your health and safety documentation.
The Fire Risk Assessment for your activity at the event should include, but not be limited to, the following:

3.5 Incidents
All accidents, incidents, dangerous occurrences and near misses must be reported to Goodwood
3.6 Reporting of Injuries, Diseases and Dangerous Occurrences Regulations (RIDDOR)
Any incident occurring on your site which requires reporting as a RIDDOR must also be reported to the Goodwood Health and Safety Team.
3.7 Permits to Work
Goodwood has enhanced its permit to work process for activities it has identified as higher risk activities on site. Permits are now required before Partners or their contractors engage in Hot Works, Craning, Operating Plant, Spiking or working under or by overhead powerlines.
The Event Health and Safety team will be available 0700-1900 for permit issue. The phone number for the Event Health and Safety team is 07950 626 133.
For spiking, please call the Duty Scanning team on 07966 964718 who will meet you and scan the ground before issuing a permit. For anyone operating plant, they will need to produce their appropriate tickets and will then be issued a ‘drivers’ wristband.
3.8 Plant/ Heavy Machinery
We are enforcing the policy that requires all plant drivers to hold current licences/ competencies from a recognised industry body, including NPORS, CPCS, ITSSAR and IPAF training accreditation. Please ensure your operatives are up to date with their training prior to the event season.
In countries where these accreditation schemes do not exist, Goodwood expects drivers to meet the local standard, but also to produce evidence of refresher training not exceeding three years old.
Plant licences and competencies are checked prior to each event. All plant drivers must receive a wristband prior to driving in the event build areas. All plant drivers must hold evidence of their competency with them throughout the duration of the build.

Plant must be removed from site as soon as the use of it is not necessary and certainly no later than the Sunday before the event opens, unless agreed with the Event Manager. If any plant is essential after this date, due to extenuating circumstances, it must be pre-approved by Goodwood Control and must have a banksman in place whilst moving on site.
All contractors are required to wear high visibility clothing with their company name on the back and the appropriate footwear. All other items of PPE, including hard hats, are to be used in accordance with their company’s risk assessment for the task involved. To note, all contracting staff actively involved on their construction stand build must wear hard hats when there is overhead working in progress or when instructed to do so.
3.10 Slips And Trips
Event Ops, the Event Health and Safety team and stewards patrol site during build-up and break-down phases to ensure the site is being kept free of waste and that all contractors are effecting suitable housekeeping. The general site infrastructure is well maintained to avoid trips.
3.11 Compressed Gas
Where LPG is used, all gas cylinders should either be stored in a safe place external to the vehicle, or, where small volumes of LPG is used, be housed in a compartment specifically designed for the cylinder separate from the rest of the unit.
The most recent gas inspection certificate must be available for inspection during the event. The installation must be inspected and tested by a competent person (check the Gas Safety Register for further details). The certificate must be issued for commercial use.
Contractors are responsible for ensuring setup and storage of gas pipework and cylinders is in line with all risk assessments. They must be installed, checked, tested, and inspected by a competent person.
Please organise for all empty cylinders to be removed from site, prior to your departure.
Please do not leave your empty containers on site.
If compressed gases are being used, your Goodwood contact must be informed. Details of type, location, quantity and storage methods must be detailed in your Health and Safety File.
3.12 Control of Substances Hazardous to Health (COSHH)
A COSHH risk assessment will be required for any hazardous substances and must be included in your health and safety documentation.
3.13 Lifting Equipment
In accordance with the Contractors Risk Assessment and Method Statements, all contractors intending to use lifting equipment will do so in accordance with The Lifting Operations and Lifting Equipment Regulations 1998 (LOLER). Lifting equipment will also conform to The Provision and Use of Work Equipment Regulations 1998. Only suitably trained, qualified and competent employees are to operate the equipment.
3.14 Craning
Cranes require a specific Permit to work where we undertake both equipment and operator competency checks and that a documented lifting plan is in place. A Crane Authorisation Request Form is required to be submitted which is reviewed by the health and safety team before issuing a permit to crane. A craning permit is required for all complex lifts and all lifts above 10m. This includes Palfingers, Hiabs that extend greater than 2m from their horizontal position, and any loads greater than 5000kg.
Where a crane is used for the physical construction of a structure, a permit is also required.
3.14 Earthing Bonds
Temporary tall metallic structures may require separate earthing electrodes to afford adequate lightning protection. This will depend on the construction of the temporary foundations and footings. BS 6651 should be consulted for further guidance and expert opinion should be obtained if necessary.
3.15 Working At Height
Working at height must only be carried out when it is not reasonably practicable to carry out the work any other way. Working at Height Regulations apply.
All contractors, their safety representative and their staff must ensure all requirements of the Work at Height Regulations 2005, are complied with, and strictly adhered to.
All contractors should take steps to ensure that work is not carried out at height where it is reasonably practicable to carry out the work through a different method. All work at height must consider the environmental conditions, i.e. high winds, or slippery ground. Those working at height must be protected by a guard rail or appropriate harness attached to a restraint system.
Persons working in the vicinity of those working at height should wear head protection, and the area below should be controlled by the contractor completing the work at height.
Working from ladders over 4m is strictly prohibited.

3.16 Water
Formal permission must be sought from Goodwood for the use of any water feature. Any application is to include a Legionella risk assessment.
4.0 Health & Safety Documentation (VERATURE)
You must submit your full Health and Safety Documentation via the Verature Contractor Management System.
This system means that all contractor information and H&S documentation will be stored in one place, where it can be verified online and will control access to Goodwood Estate. All generic information such as public liability insurance etc. will only be required to be uploaded once per season. Event specific documentation will be uploaded per event. All documents, once unloaded will be verified by our nominated Health & Safety representative. You will be able to log in to the system and see the status of all your documents. Once approved you will be able to access site, without the correct documentation verified you will not be able to access the event site.
Please ensure you upload all required documents in good time to prevent any problems. The system will also ask for all sub-contractor details, ensuring we have all the correct documentation for them as well and ensuring they have access to site once the documentation has been completed. Finally, the system will also ask for all worker details, this is so Goodwood can ensure all workers agree to and understand the site rules. This is possible for all workers to do online in advance of coming to site which we actively encourage as this will speed up the build accreditation process. You will receive a separate log in to the contractor management system, if you have not received this, please contact your Partnerships Manager.
You will be asked to submit the following documentation;
4.1 Cover Sheet
The name and contact details for your on-site team including the person in charge, the project manager, site foreman and health and safety manager – together with a 24-hour emergency contact number for a responsible person within the organisation, which must be operational from the first day of build-up to the last day of extraction.
4.2 Stand Plans
Full set of designs and floor plans including;
Technical drawings
Internal layout plans
Kitchen plans (if applicable)
Visuals
4.3 Structural Calculations
Structural calculations; prepared by a qualified Structural Engineer for all structures; to include fixing details for cladding, wind loads, live loads and dead loads. Paying particular attention to your loading medium. If in any doubt, over specify on your loading sole plates. Goodwood reserves the right to test your structural calculations.
A sign-off certificate for all temporary structures must be provided to the Goodwood Event Operations Team once the structure is complete.
4.4 Risk Assessment & Method Statements
Risk assessments, Fire Risk assessments and Method statements, including loading considerations and capacity control, covering the build and breakdown of your stand as well as during the live event days from all parties involved including your organisation and any third-party working on your behalf, specific to the Event. Due to the complex nature of some stands, Partners should manage their stands in accordance with the management framework and reporting systems detailed in the CDM (2015) regulations and this should be detailed in this section.

4.5 Event Safety Plan
A copy of your Event Safety Plan for installation, event days and breakdown. A Construction Phase Plan, covering specific requirements as stated in the Construction Design and Management Regulations 2015, must either be submitted separately – or be incorporated into your Event Safety Plan.
4.6 Build Schedule
You are required to submit a timetable detailing your scheduled build/construction phase plans and how you manage change during the construction, live event and breakdown.
4.7 Insurance
Copies of public and employer’s liability insurance documents for all organisations involved with the installation, running of and removal of your stand. This includes a copy of the Partner’s public liability insurance cover of £10 million per individual claim, which must be in date at the time of the event. It is the Partners responsibility to ensure that all subcontractors working on the Partners behalf have the appropriate Public Liability Insurance and relevant H&S paperwork. If the insurance is up for renewal, proof of commitment to renew the insurance must be provided. Please also include any other relevant insurance documentation.
4.8 High Wind Policy
High Wind Policy, which should state the following:
How the structure has been designed to withstand wind and up to what wind speed.
What measures are put in place to monitor and check this
What procedures are put in place should wind speeds reach levels which may cause structural damage
Call out procedures for contractors to attend to prevent or repair damage
Risk to public – at what stage should evacuation be considered, the evacuation plan, checks to be carried out once things return to normal
4.9 Adverse Weather Policy
Adverse Weather Policy, which should outline how risks to workers from exposure to adverse weather (rain, wind and lightening) will be monitored and work adapted/ceased.
If your organisation is activating on-event, this document should outline how adverse weather may affect event activity i.e., customers may be unable to use parts of structure, how overcrowding is prevented during heavy rain etc.
4.10 Waste Compliance
This is required from any organisation producing; food waste, hazardous waste (medical/chemical/fuel) or large amounts of waste that will not be removed from site by the contractor/partner or disposed of in the site bins. In the above cases, Goodwood requires a simple plan which indicates how this waste will be disposed of.

4.11 Food Safety Certificates
Only required if your organisation is preparing food for consumption of customers. Please submit a local authority food hygiene rating certificate or equivalent proof.

This document should outline power requirements and a simple layout diagram. It should also explain how the installation will be completed by a competent contractor and how it is tested and commissioned. This may include; earthing, location of boards, isolations, temporary supplies, protective devices, and how this is separated from members of the public.

Where are my Tickets?
Exhibitor tickets are despatched from Goodwood once payment has been received in full. Once they have been booked out, you should receive an email confirming this and the address they have been posted to. This is, unless stated, the address on the booking form submitted. Should your address be different to this, please let us know BEFORE we send the tickets out.
Foreign Exhibitors
Due to complications posed by Brexit we are unable to send wristbands or tickets to our exhibitors abroad. You will need to collect your tickets from our Exhibitor HQ in car park A on the day you arrive.
Lost Tickets
If your tickets have not reached you within a week of the despatch email being sent, please contact the Exhibitions Team who can cancel the tickets already sent and re-issue new tickets.

Tree protection
All individuals onsite are responsible for the protection of the trees across the park, with rules put in place to ensure that throughout the build and breakdown these are not irreversibly damaged.
Damage to these trees involves and is not limited to; ground compaction, digging/root exposure and any damage to branches or trunk.
Tree protection is taken very seriously at Goodwood as they play a vital part in our heritage. Due to negligence across site, we have already seen a number of trees lost within just a short number of years. Therefore, we must put rules in place to ensure this does not continue and the park is preserved for the future.
